This policy explains what we collect when you book a room or send us an enquiry, why we hold it, and what you can ask us to do with it.
Who we are
Belvoir Hotel & Furnished Apartment Residence, Belvoir Avenue, off Wilkinson Road, Freetown, Sierra Leone. We are the controller of the personal information described here.

What we collect

We never see your card details. Payments are handled entirely by Flot. Card numbers, PINs and mobile money credentials are entered on their systems, not ours, and are never sent to or stored by this website. We receive only a reference, an amount and whether the payment succeeded.
Why we are allowed to hold it
- To perform a contract with you. We cannot hold a room without knowing who you are and when you are arriving.
- Our legitimate interests. Keeping records of reservations and payments, preventing fraud and abuse of the forms, and running the property.
- Legal obligation. Where accounting or tax rules require us to keep transaction records.
Who we share it with
We do not sell your information and we do not share it for advertising. We use a small number of service providers who process it on our behalf:
- Flot — payment processing.
- Neon — the database holding reservations and enquiries.
- Vercel — hosting for this website.
- Resend — sending booking confirmations and notifications, once enabled.
We may also disclose information where the law requires it.
Where it is held
Our hosting and database providers operate internationally, so your information may be stored on servers outside Sierra Leone. We choose providers who apply recognised security standards, and information is encrypted in transit.
How long we keep it
- Reservations and payment records: seven years, so we can meet accounting and tax obligations.
- Enquiries: two years from your last contact with us, unless you ask us to remove them sooner.
- Abandoned bookings: twelve months, in case you return to complete them.
Your rights
You can ask us to:
- tell you what we hold about you, and give you a copy;
- correct anything that is wrong;
- delete what we hold, where we are not required to keep it;
- stop using it for a particular purpose.

Cookies and tracking
This website sets no advertising or analytics cookies. Your browser stores a small amount of data on your own device so that an interrupted booking is not lost if your connection drops. That data stays on your device, is never sent anywhere except to complete your own booking, and is cleared automatically after a week.
Security
The site is served over HTTPS. Access to reservation data requires authentication and is limited to hotel management. Payment credentials never reach our systems.
Changes
If we change this policy we will update the date at the top of this page.
